What is LeopardWeb Proxy Access?

  • Enables you to authorize another person (referred to as a proxy) such as a parent or guardian to view your student information. Individuals that you grant proxy access to will have the ability to view certain LeopardWeb pages e.g. schedule, grades, financial aid, bill, using their own LeopardWeb log-in credentials (PIN). Note: Only individuals with a valid email address can be granted proxy access.
  • Enables you to provide a passphrase to a proxy for them to use when speaking with a Wentworth Student Service Representative (in the Student Service Center) about your data as contained within our student information system.
  • FERPA access can be granted for information via phone and in person only while Proxy access allows for information access via phone, in person and via the LeopardWeb.       

How Do You Set Up Proxy Access?

Setting up a proxy to access information on LeopardWeb is easy.  Just follow these steps:

  1. Log in to LeopardWeb: https://leopardweb.wit.edu
  2. Click on the tab in LeopardWeb for Proxy Access and complete FERPA Authorizations as instructed. Once completed the LeopardWeb Proxy Access Management menu will be displayed.
  3. Click on LeopardWeb Proxy Access Management
  4. Add a third-party (proxy) e.g. parent, guardian, spouse/partner
  5. Authorize LeopardWeb pages that may be viewed by a third-party (proxy)
  6. Provide a passphrase for a third-party (proxy) to discuss your student information with a Wentworth representative

How Does Your Proxy (Such as a parent and/or guardian) Use LeopardWeb Proxy Access?

Once you set up another person as a proxy they can begin to access LeopardWeb information.  The following steps outline the process a proxy has to go through in order to access LeopardWeb. 

  • Your Proxy will receive a “New Proxy Identity” email at the email address you provided notifying them that they have been identified as a proxy for a student.
  • They can use the Temporary PIN (action password) provided to access the proxy access pages in LeopardWeb via the link contained in the email.  Once your proxy logs in they can create a New PIN as well as update their basic user profile information.
  • Watch for an “Updated Access Authorizations” email from a student
  • Watch for a “Send Updated Proxy Passphrase” email from a student. The Passphrase contained in this email is for your use when speaking with a Wentworth representative (Student Service Center) about data contained in the student information system for the student.

How Does Proxy Access Work?

  1. A student who is eligible to create proxies for herself/himself signs into LeopardWeb and clicks on LeopardWeb Proxy Access menu to complete FERPA Authorizations as instructed. Once completed the LeopardWeb Proxy Access Management menu will be displayed.
  2. Click on LeopardWeb Proxy Access Management to add a third-party (proxy) e.g. parent, guardian, spouse/partner. Note: A person can only have a single proxy relationship with another person. For example, if you are a parent proxy, you cannot also be a potential employer proxy for the same person. However, a proxy may have multiple relationships for example, multiple children may establish a proxy with their parents. Proxies are uniquely identified by an e-mail address that is not case sensitive.
  3. When the student submits the proxy’s information the new proxy communication is formatted and sent out. The communication sent to the new proxy includes an action URL and an action password.  Note: The action URL is a single use URL, therefore a potential proxy cannot use it to access the system repeatedly. Subsequent uses of the action URL will redirect to the proxy login page. A proxy or related person who wishes to reset the PIN will receive an e-mail message that must be used to set a new PIN.
  4. The student who set up the proxy can change the specific LeopardWeb pages or group of pages they authorize their proxy to access at any time.
  5. The proxy receives the new proxy e-mail, accesses the URL, and enters the action password to authenticate.
  6. The proxy can select a person tab and view the authorized LeaopardWeb pages.
  7. The proxy will be connected to LeopardWeb and can now begin to access the page(s) that were authorized for them by the student. On the Proxy Profile page, the proxy can request a pin reset, change their associated e-mail address, as well as update other profile information, but the proxy cannot change the pages that they are eligible to access. Note: The proxy has not been granted access to any LeopardWeb pages that allow updates.
  8. At any point the student may alter the proxy relationship, not only modifying the LeopardWeb pages the proxy can access but they can also deactivate the proxy relationship using the start and stop dates.

About the New Online FERPA Form

Q. What is the difference between the Online FERPA Authorization and granting someone access to LeopardWeb Proxy?

A. The Online FERPA authorization form can be used to grant someone other that yourself (a parent/guardian, spouse, etc...) access to your information over the phone or in person at the Student Service Center.  This is the form to use if you want them to be able to access information via phone and/or walk in without granting view access to LeopardWeb Pages.

Q. How can I access or edit the Online FERPA Authorization form after I have logged in and used LeopardWeb Proxy for the 1st time?

A. The Online FERPA Authorization form can be accessed at any time by logging into LeopardWeb, clicking on the 'Student' tab, and following the link called 'FERPA Authorization.'  Once on that page you can add multiple FERPA designees and/or delete any existing FERPA relationships.

Q. Which students can set up a proxy in LeopardWeb Proxy Access?

A. Any current student in LeopardWeb has the ability to set up a proxy. The student can designate access to a selected individual (a proxy) by logging in to LeopardWeb and choosing the 'Proxy Access' tab from the main menu. 

Q. Why can’t I use the same email address for my mom and dad or other proxy?

A. The unique identifier for the proxy in LeopardWeb is the proxy’s email address. An email address can only be associated with one person.

LeopardWeb Page Authorizations

Q. I am selecting LeopardWeb pages I want my proxy to view but where is the “save” button?

A. Your authorizations on the Authorization web page are automatically saved. There is no “save” button. To view your Authorization activity, select the “History” tab.

Q. What does the lock mean when I see it next to my proxy’s name on the LeopardWeb Proxy Access Management webpage?

A. The lock is displayed until you click on the proxy’s name and select a relationship for the proxy.

Q. What does the number of pages mean next to my proxy’s name on the LeopardWeb Proxy Access Management webpage?

A. The number of pages indicates amount of LeopardWeb pages you have authorized your proxy to view. Each item is available as a separate web page.

Q. I no longer want my proxy to have access to my LeopardWeb pages. What do I do?

A. Access to the LeopardWeb pages can be removed in several ways. You can change the “Stop Date” on the “Profile” tab for the proxy and/or you can remove all checkmarks on the “Authorization” tab. The proxy will no longer see your name when they access LeopardWeb.

Q. How can I tell if my proxy has viewed any of my LeopardWeb pages?

A. Click on the “History” tab to view the activity for that proxy. The webpage will display the most recent activity including access to LeopardWeb pages, pages being disabled, and details of your proxy’s access to LeopardWeb as well as the pages the proxy has viewed. The most recent 40 items will display.

Q. What is the purpose of the History tab?

A. The History page displays the most recent activity, including LeopardWeb pages being granted, or disabled, and details of your proxy’s access to LeopardWeb as well as the pages your proxy has viewed. The most recent 40 items will display.

Q. Will my proxy be notified if I modify or remove authorization to view my LeopardWeb pages?

A. There is no automatic notification sent when you modify an existing authorization on the “Authorization” tab for your proxy. You have the ability however to click the “Email Authorizations” icon and it will generate an email to your proxy.

Q. If I make someone a proxy can they call Wentworth if they have questions about it?

A. If your proxy has a question about the functionality of LeopardWeb Proxy Access they should first check the Proxy FAQ’s. If your proxy has a question about information contained in one of the LeopardWeb pages you have authorized them to view, they must provide the Passphrase you assigned to them when speaking with a Wentworth representative (Student Service Center).

Q. How do I know what LeopardWeb pages there are that I can select for my proxy to view?

A. The LeopardWeb pages available for a student to assign to a proxy are displayed on the “Authorization” tab. A brief explanation for each page is also available on the “Authorization” tab.

Q. I only want my proxy to have access for a particular time frame. Can I set a date range?

A. LeopardWeb Proxy Access allows you to set a start and end date for each proxy that you identify. On the “Profile” tab for each proxy you see the Start Date and End Date. Each can be changed.

Access to LeopardWeb Proxy

Q. How do I login to LeopardWeb Proxy Access?

A. The initial email you received about LeopardWeb Proxy Access provided you with a unique URL to access LeopardWeb Proxy Access with an Action Password (temporary password). 

A new URL was also in the second email you received indicating that a relationship has been established by your student in LeopardWeb Proxy Access. It is suggested that this URL be bookmarked as a favorite.

Q. I was given an Action Password (temporary password) but on the reset page I am asked to supply the old PIN. What do I do?

A. Enter your Action Password (temporary password) in the box for Old PIN on the PIN reset page, and then enter a new PIN (Personal Identification Number) according to the directions.

Q. What is a PIN?

A. PIN, the acronym for Personal Identification Number, is a password made up of numbers and letters used to access LeopardWeb Proxy Access.

Q. I can’t remember my password/PIN. What do I do?

A. You can easily change your password by going to the LeopardWeb Proxy Access login webpage and select the “Forgot Pin” icon. An email will be sent to your email address with a unique link and Action Password (temporary password). You will use your Action Password (temporary password) as the “Old PIN” in the PIN reset process.

Q. I am trying to reset my PIN and I receive the following message: Your PIN has been disabled; you should have an email with directions telling you how to re-enable your PIN. I did not receive an email.

A. If you receive this message, please follow the directions to request a pin reset. Enter your email address and then select “Forgot PIN”. This will automatically generate an email with a temporary password. Please note that when you enter your temporary password in the “PIN” field, the temporary password is case sensitive and cut/paste may add extra spaces which will result in a failed attempt.

Q. My email address is changing. What do I do?

A. On your proxy profile page, update your email address and click save. The system will then send two email messages. The first to your old email address to inform you that a request for a change from this e-mail address has occurred and if it was done in error, there is a unique link to click to cancel the change. The second email is to your new email address indicating that a change to this address was initiated and a unique link to click to confirm this email address change.

Q. I received an email saying I initiated an email change when I did not initiate a change.

A. When a proxy changes their email address, the system will then send two email messages. The first to the old email address to inform the proxy that a request for a change from this address has occurred and if it was done in error, there is a unique link to click in order to cancel the change. The second email is to the new email address indicating that a change to this email address was initiated and a unique link to click to confirm this email change. If the proxy did not initiate the change, the proxy should click the link to cancel the request.

Q. Why am I getting an error message when I look at my student’s information?

A. Cookies are set when a person is accessing LeopardWeb. It is very important that when you are finished you completely close the browser. This will release the cookies so that if you then access LeopardWeb again you will not receive an error message.

Q. How can I find out what my student has authorized me to see?

A. The student can easily email you a list of your LeopardWeb page authorizations. Ask your student to go to LeopardWeb Proxy Access, and select your name from the list of designated proxies. The student then selects the authorization page and clicks on the icon “E-mail Authorizations”. An email will automatically be generated to you with the list of LeopardWeb pages your student has authorized you to see.

Q. I used to be able to view LeopardWeb pages, but now can’t. What happened?

A. The student is in control of the LeopardWeb pages you can view. If you no longer can view a LeopardWeb page please contact the student.

Q. Why can I not see what I expected to see in LeopardWeb as a proxy?

A. The student is in control of what LeopardWeb pages are authorized for you to view. Ask your student to email you the list of authorizations set up for you. If you are expecting to see something else, you need to discuss your need with your student.

Q. What do I have to do to be able to contact and ask questions of someone at Wentworth about my student’s information?

A. LeopardWeb Proxy Access is a product that is controlled by the student as to who they identify to view information, and what information a designee can view. To be able to ask questions about this information in person or over the phone you will need to provide the Student Service Center Representative with the Passphrase provided to you by the student who authorized you to have Proxy Access.

Q. How does a student give me FERPA authorization and a Passphrase so that I can contact and discuss my student’s information with a Student Service Representative?

A. The student can easily grant a person FERPA authorizations and Passphrase as follows:

  1. Log in to LeopardWeb: https://leopardweb.wit.edu
  2. Click on LeopardWeb Proxy Access and complete FERPA Authorizations as instructed.
    Once completed the LeopardWeb Proxy Access Management menu will be displayed.
  3. Click on LeopardWeb Proxy Access Management.
  4. Click on the link 'Add A Proxy' and fill out the required information.
  5. Then set a relationship for the porxy e.g. parent, guardian, other.
  6. Authorize LeopardWeb pages that may be viewed by a third-party (proxy)
  7. Provide a passphrase for a third-party (proxy) to discuss your student information with a Student Service Center Representative.

LeopardWeb Proxy Access Functionality

Q. I am a proxy for more than one student. How can I see my student’s information in LeopardWeb?

A. For each student that has identified you as a proxy within LeopardWeb Proxy Access there will be a tab with each student’s name along the top of the webpage. When you select a name you will see the listing of LeopardWeb pages that that student has authorize you to view.

Q. I am a proxy for more than one student. How can I tell which student’s information I am looking at?

A. When a LeopardWeb page is selected that page is displayed in a new window. Located in the top right portion of the window is the name of the student whose LeopardWeb page you are viewing.

A Note to Students Using Preferred First Names

Please know that LeopardWeb will display the name you have designated as your preferred first name. Your preferred first name will be displayed and visible to anyone that you grant LeopardWeb Proxy access to.
