Media Policies for Faculty and Staff
Media services support and equipment are available during the same hours that the DTS Help Desk is open, typically:
Monday - Thursday: 7:30 AM to 6:30 PM
Friday: 7:30 AM to 5:30 PM
If you need Media equipment or services outside of those times please contact the DTS Help Desk to discuss scheduling these resources. If student employees are not available to staff an event outside of normal business hours and a full time employee is requested, and is available, there is a cost to the group for overtime; see Rates and Fees.
Media equipment and services are available to all Wentworth Faculty and Staff whether full-time, part-time, or adjunct on a first come, first served basis.
Policy on Portable Multimedia Equipment Use
DTS cannot deliver and retrieve portable multimedia equipment to and from classrooms and/or other locations on campus. If you have any issues with the equipment during use, contact the Help Desk for assistance.
- All requests for portable multimedia are to be made to the Help Desk via our Online Media Event Request Form.
- Equipment will be available for pick up at the Help Desk located in Beatty Hall, Room 320.
- All equipment will be signed out and will be the responsibility of the user as outlined in the Loaner Equipment Authorization Form that will be completed at the time of deployment.
- All equipment must be returned to the Help Desk by the user on the agreed upon time of return. If the Help Desk is closed at the end of your event, the equipment needs to be returned to the Help Desk the next morning.
- Assistance, if needed will be given on site if problems are encountered. If you have any issues with the equipment during use, contact the Help Desk for assistance.
If at any time a change or cancellation of equipment/services is necessary please inform the DTS Help Desk as soon as possible.
Any equipment borrowed from the DTS Help Desk by a Faculty member becomes the responsibility of that Faculty member and the department for which he/she works. The equipment is expected to be returned in the same condition that it was in when delivered/checked out. Media equipment is not to be transferred from one Faculty member to another without express written approval/verification from the DTS Help Desk, DTS User Services Manager or Media Services Coordinator.
Media equipment is not to be left unattended or unsecured in a classroom or office space.
Media equipment is not to be taken off campus without prior approval from the DTS User Services Manager or the Media Services Coordinator.
Media Policies for Students
Media resources (i.e. equipment, services, etc.) are reserved for Wentworth Faculty and Staff only. All requests for media must be made by a faculty or staff member. Any Student using media equipment on campus must do so under the direct supervision of a Faculty or Staff member.
Faculty and Staff are prohibited from transferring media equipment to Students.
Media Policies for Student Groups
Media resources can be made available to support events for student groups and/or organizations. The Loaner Equipment Authorization Agreement for Student Groups form first needs to be completed by a sponsoring department’s Director. The Director authorizes named staff members to request loaner equipment on behalf of the department that oversees the group. The named staff member(s) must submit the media request to the DTS Help Desk and list the name of the student in the request who is authorized to pick up the equipment for that specified request. Designated students picking up equipment must show a valid WIT ID. Any changes to the designated student can be made at any time by e-mail to firstname.lastname@example.org prior to pick up.
Media Policies for multi-day requests
All multi-day requests must be approved by either the DTS User Services Manager or by the Media Services Coordinator. If media resources are not available, the DTS Help Desk reserves the right to deny any multi-day requests. Requestors are cautioned to check on availability well in advance of the actual need dates.
Media Policies for off-site requests
All off-site requests must be approved by either the DTS User Services Manager or by the Media Services Coordinator. If media resources are not available, the DTS Help Desk reserves the right to deny any off-site requests.
DTS staff do not support off-site events. If a group would like special consideration for an event, submit a Media Request as usual and understand that there will be associated fees as described in Rates and Fees.
Media Policies for outside groups and organizations
All outside groups and/or organizations wishing to utilize Wentworth media services equipment or technicians must first coordinate with the Business Services office (617-989-4253 or email@example.com) for event space. A technician is required to be present for events hosted by an outside group. Media equipment availability will be coordinated at the time of reserving the space. Please see the Rates and Fees section as they apply to all outside groups and/or organizations.
Rates and Fees
There is a $50 hourly technician rate with a $200, four (4) hour minimum technician charge, which the associated group is responsible for paying. This includes an hour for setup, an hour for breakdown, and up to two-hours of event coverage. Each additional hour beyond the minimum 4 hours will be charged at $50 per hour. Example: If the event is 3 hours, the charge will result in a 5-hour, $250 total charge to the outside group. Hours will be charged in whole hours, i.e. if the event is 2 hours and 15 minutes, the charge will be for 3 event hours, or 5 hours total, a $250 charge.top
